URBAN REFUGEES (UR) is an international NGO aiming to improve the lives of urban refugees in the Global South. To do so, we: 

  • Supports refugee-led organisations to develop their capacity to organise, plan and advocate for themselves through our incubation program. This includes: technical assistance and training, support in governance, fundraising and communication mapping
  • Create and coordinate a network of NGOs, academics, refugee-led organisations and practitioners to help them share best practices and work together towards shared goals and 
  •  Advocate to change policies affecting urban refugees.

Objective of the position:

URBAN REFUGEES is about to open an incubation program in Kampala providing support to 2 refugee -led organizations (RLOs). We are currently seeking an experienced assistant to provide support to the Head of Mission on administrative, financial, human resources and logistical matters. 

Roles and responsibilities:

  • Logistics: 
    • Be in charge of all procurement
    • Ensure the office and the team is equipped with the necessary supplies and equipment
  • Administration and HR: 
    • Act as the focal point for the lawyer 
    • Manage signature of staff contracts and manage staff outboarding when necessary
    • Prepare administrative documents (staff visas, registration as a non profit etc.)
  • Finance:
    • Manage the day to day accounting in close collaboration with the Head of Mission including registering invoices in the financial management system
    • Ensure timely payment of recurring invoices such utilities  
    • Help preparing financial reporting to donors

Other tasks may be needed.

Qualifications / Experience

The following qualifications are required for the position:

  • Experience as an executive assistant including management of financial tasks
  • Previous experience working with an NGO a strong asset
  • Bachelor degree or higher in a relevant field such as Business Administration or Management 
  • Excellent organizational and planning skills, attention to detail, and follow-through;
  • Extremely reliable, punctual and trustworthy
  • Able to work both autonomously and as a member of a team, proactively and with limited supervision
  • Excellent written, verbal and interpersonal communication skills;
  • Excellent computer-based skills;
  • Cultural sensitivity and ability to work in a multicultural team
  • Fluency in English required, French is a strong asset 
  • Understanding of refugees humanitarian context desirable


  • Uganda national  or person eligible to work in Uganda
  • Remuneration based on experience
